Polkomtel S.A. is the leading operator of cellular networks in Poland, known under the brand of Plus GSM. In 2008 Polkomtel S.A. initiated the process of searching for SFA/FFA system by inviting to negotiate the biggest producers of this kind of solutions. Polkomtel S.A. expected to receive one comprehensive offer covering implementation, further development and maintenance of the mobile system and system of electronic data exchange for the period of 5 years from the completion of the implementation process.
Implementation context
Polkomtel S.A., within the framework of the Mass Market Department (Channel of Modern Distribution), required the implementation of IT tools with the aim of:
- assisting the employees of the Modern and Traditional Distribution channels in their daily work;
- management of the sales representative of the Modern and Traditional Distribution Channel through their superiors, Channel Coordinators;
- enabling precise planning and holding respective employees accountable for their tasks;
- reporting sales results
- reporting on Traders’ work;
- allowing for obtaining and gathering of information regarding warehouse inventory of Polkomtel S.A. products on the market
- allowing for preparing reports on products
- electronic exchange of accounting documents with Partners
Business requirements
Basic requirement set by Polkomtel S.A. was, among other things, to ensure the performance of the following functions:
- system administration, employees management, system reporting;
- that the System may be operated both on a PDA-type device and smartphone
- performance of the tasks ordered by administrators or superiors, defined from the application level;
- registering the actions at the Customer's site (point of sale) during the sales call;
- gathering information on warehouse inventory and sales of distributors, redistributors, Agents, Subagents, POS
- management of data on the central side (data correction, glossary definition, etc),
- reporting from the system using analytical tools,
- automatic download of information prepared by respective distributors, redistributors, agents, subagents, POS,
- a possibility of determining the rules of data exchange (scope of documents, etc),
- integration with the Partners as regards Electronic Data Exchange
- data management in the System of Electronic Data Exchange
Safety conditions
Polkomtel S.A. expectations regarding the supplier were that it must follow general and commonly adopted standards, instructions, norms and proper programming practices during the design, implementation, configuration and maintenance of the systems, among other things, meeting the requirements of the PN-ISO/IEC 17799 and PN-ISO /IEC13335 standards, the Act on Personal Data Protection and Act on the Protection of Databases.
Implementation
The long-term process of selecting the SFA/FFA system supplier was supplemented by functionality tests and reliability of the supplied 4mPOWER platform created by Softline. Polkomtel S.A. uses the extended version of 4mPOWER system, covering, in addition to traditional sales, controlling and management functions, automation mechanism consisting in data exchange with trade partners and monitoring of employees.
Development of the system
Polkomtel S.A., being a user of 4mPower system, becomes ever more convinced that this solution is stable and high quality, and consequently aims to expand the software to include other modules. At present time, Polkomtel S.A. is using the extended system of Loyalty Programme, which, by communicating with external system, transmits data that enable mobile workers to promptly respond to market changes and enable the supervision of the assigned point of sale in the Loyalty Programme. The Loyalty Program, "Zyskuj z Plusem" (“Make Profit with Plus”), was introduced in Polkomtel S.A. by Softline, along with B2B Partner and Inmark 360.Currently, extensive development works are in progress on 4mPower system in response to the recent request of Polkomtel S.A.
